Coaching Platform Privacy Policy

1. Purpose and Relationship to Overarching Policy

This policy specifically governs the Inspiritive Online Coaching Platform ("the Platform"). It operates as a subset of the Inspiritive Pty Ltd Policies. While the overarching policy manages RTO-specific regulatory data (such as USI and VET reporting), this subset addresses the unique data interactions inherent in professional coaching, behavioral tracking, and platform engagement.

2. Scope of the Platform

This subset applies to all users of the Coaching Platform, including:

• Coaching Clients: Individuals receiving professional or executive coaching.
• Coaches: Internal staff or external contractors delivering sessions.
• Corporate Stakeholders: Representatives of organisations sponsoring coaching for employees.

3. Additional Information Collected

In addition to the standard identity and contact information defined in the Inspiritive Privacy Policy, the Platform collects

• Interaction Data: Notes from coaching sessions, goal-setting entries, and self-reflection logs.
• Multimedia Content: Video and audio recordings of coaching sessions conducted via the platform or integrated tools.
• Behavioral Metrics: Log-in frequency, resource downloads, and progress against personalised coaching milestones.
• Communication: Direct messages and chat history between Coaches and Clients within the Platform environment.

Sensitive data: We do not intentionally collect or process special categories of personal data (e.g., health information, racial or ethnic origin). Please avoid sharing such information when using our services.

4. Specialised Use of Data

While the RTO policy focuses on training and assessment, the Platform uses personal information to:

• Personalise the Coaching Experience: Tailor resources and modules based on individual user input and goals.
• Facilitate Session Delivery: Manage scheduling, session reminders, and video conferencing links.
• Track Growth: Provide visual progress tracking and automated reminders for goal deadlines.
• Quality Assurance: Review recordings or session notes for coach supervision, platform evaluation, and professional development.

5. Disclosure and Confidentiality

• RTO Reference: Data related to nationally recognised training remains subject to RTO reporting requirements.
• Coaching Confidentiality: Personal session notes and reflections are treated with a higher level of confidentiality and are generally not disclosed to third parties or employers without explicit written consent, unless a serious risk to health or safety is identified.
• Third-Party Integration: The Platform utilises third-party providers for hosting, video communication, and payment processing, as outlined in Section 10 of the overarching policy.

6. Use of AI and Automated Coaching Tools

As per Section 12 of the Inspiritive Privacy Policy, the Platform may utilise AI-enabled tools for:

• Coaching: Generating responses and questions during coaching sessions.
• Transcription: Generating summaries of coaching sessions.
• Insights: Suggesting relevant learning content based on user activity.
• Support: Providing 24/7 automated administrative assistance.
• Governance: AI tools will not be the sole basis for decisions regarding a user’s progress or status within a coaching program.

7. Data Retention in a Coaching Context

Unlike RTO records, which may have a 30-year retention requirement, coaching-specific data (such as session recordings and chat logs) may be retained for shorter durations based on the lifecycle of the coaching engagement, unless they form part of a formal VET assessment. Upon completion of a program, users may request the de-identification or secure destruction of non-regulatory coaching data.

8. Changes to this policy

We may update this policy from time to time. We will notify you of material changes by email or by posting a notice within the platform. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
